The Bundling Story — and What It Actually Costs
Until January 2025, Gemini was available as a standalone Workspace add-on at $20 per user per month for Business plans and $30 per user per month for Enterprise plans. Google retired this model and incorporated Gemini features into core plan pricing — effective March 17, 2025. The bundling was real. So were the price increases: Business Starter and Standard rose by $2 per user per month; Business Plus rose by $4 per user per month.
The net effect for large Workspace deployments is a material annual cost increase that arrived framed as a simplification. A 10,000-seat Business Plus deployment now costs $480,000 more per year at the new per-user rate — before any AI-specific add-ons are purchased. The limit enforcement timeline most IT procurement teams have missed: Google introduced AI Expanded Access and AI Ultra Access add-ons for Workspace in 2025 to provide higher limits on advanced Gemini features. Stream 1: Gemini in Workspace. Included in all paid Workspace plans from March 2025. Features include Gemini in Gmail, Docs, Sheets, Slides, and Meet. Subject to usage limits; AI Expanded Access add-on required for higher limits. Stream 2: Gemini Enterprise (standalone). A separate Google Cloud product — not the same as Workspace Gemini — providing a chat interface for enterprise data search and AI agent building. Priced per seat. Launched October 2025. Many organisations are being sold this on top of existing Workspace Gemini deployments. Stream 3: Gemini API via Vertex AI. Consumption-based pricing for developer access to Gemini models. Gemini 1.5 Pro is $1.88 per million input tokens and $7.50 per million output tokens as of Q1 2026. Completely separate from per-user Workspace pricing. Stream 4: Gemini Code Assist. A dedicated developer AI coding tool with its own per-seat licensing. Frequently purchased independently by engineering teams without coordination with existing Workspace AI agreements.
What Smart Enterprise Procurement Looks Like
Effective Gemini procurement requires a consolidated AI spend audit before any new commitments are made. The audit maps existing Workspace plan tiers, identifies which Gemini features are actually being used versus simply licensed, determines whether AI Expanded Access is genuinely needed or being sold as a precaution, and checks whether Gemini Enterprise seats duplicate functionality already available through Workspace AI and Vertex.
For Enterprise Workspace customers, pricing is custom and negotiated directly with Google. The negotiation leverage available to large Workspace accounts is material — particularly where multi-year commitments are on offer, where seat counts are growing, or where the organisation has a parallel GCP spend relationship. Enterprise agreement consolidation — aligning Workspace, GCP, and Gemini into a single commercial vehicle — can unlock discounts unavailable to buyers who negotiate each product stream independently.
